PRIVACY POLICY

Effective 25 September 2026 · Last updated 25 September 2026

The short version

  • Accounts are for adults. Children do not sign up and have no logins.
  • You enter details about a young athlete — a first name, team, position and jersey number. We do not ask for a last name, an age, or a photo of the child.
  • None of it is published. A player is visible only to the account that created them, to co-parents that account invites, and to our administrators. There are no public player pages. The one exception: a coach’s team link shows first names and jersey numbers to whoever opens it, so families can claim their own player — see 2.3.
  • Your song prompt is sent to a third-party AI music service to generate the track.
  • We do not sell personal information, and we never use a child’s information for advertising.

1Who we are

Game Day Beats operates game-day-beats.com. It lets parents, guardians and coaches create AI-generated walk-up and hype songs for youth athletes, organise them into team libraries and playlists, and play them at games.

This policy explains what we collect, why, who we share it with, and what you can do about it. It applies to every page of the site and the app.

2Children's information

This is the most important section. Game Day Beats is a service about children that is used by adults.

2.1 Accounts are for adults only. You must be 18 or older to create an account. Children cannot register, log in, purchase or generate songs. If we learn a child has created an account, we delete it.

2.2 What a parent provides about a child. When you add a player you may provide their first name, sport, jersey number, team, position and a short description. Song titles and lyrics you write may also contain that first name.

We deliberately do not collect three things. There is no field for a child’s last name, no field for their age, and nowhere in the app to upload a photo of a child. Songs, track titles and the announcer call use the first name only, and the app strips a surname back out if one is typed in.

You provide this as that child’s parent or legal guardian, or with that parent’s permission. If you are a coach adding other families’ children, you must have each parent’s permission first.

We keep a record of that permission. When a player is added we ask the adult adding them to confirm, in writing, either that they are that child’s parent or legal guardian, or — if they are a coach importing a roster — that they hold each listed player’s parent’s permission. We store that confirmation against the individual player, with the date and the exact wording shown, and we keep the two apart: a coach saying they have permission is not the same thing as a parent giving it, and is not recorded as though it were. When a parent later claims their own child from a team link, their own confirmation is added alongside the coach’s rather than replacing it.

2.3 Nothing about a player is published. A player profile and its songs are private. They are visible to the account that created the player, to any co-parent that account invites by email, and to our administrators for support and safety. They are not visible to other users and not indexed by search engines. The one exception is a team link, described below: a player’s first name and jersey number appear on it without signing in.

Three honest caveats. If you invite a co-parent, that person can see and edit that player and their songs — invite only people you trust with a child’s details. A generated audio file is stored at its own long, unguessable web address so the app can play it; it cannot be found by browsing or searching, but anyone you deliberately send that exact link to can play it.

And a team link shows first names and jersey numbers without signing in. When a coach shares a team link so families can claim their player, opening that link shows the team name and, for every player on that roster, their first name and jersey number — and it does this without asking the visitor to sign in, because a parent has to be able to see the roster to find their own child on it. Nothing else travels with it: no positions, no descriptions, no songs, no co-parent addresses, and nothing about any other team. The link carries a long random identifier that cannot be guessed, but it is a link like any other — whoever a coach sends it to can open it, and so can anyone they forward it to. It does not expire. If you coach a team, treat that link as public and send it only to your own families. If you want a team link switched off, ask us at our support page.

Deleting a track removes it from the app, but it cannot reach copies that have already left. A song someone has downloaded stays on their device, and a link you have already shared keeps working. If you need the stored audio file itself removed, write to us at our support page and we will remove it — tell us which track and we will confirm when it is gone.

2.4 Parental rights. As the parent or guardian of a child whose information is here, you may at any time review it, correct it, delete the player and every song attached to them, and refuse any further collection. You can delete your whole account, and everything in it, from Settings. You can do all of this in the app, or by writing to our support page. We verify that you are the parent or account holder before acting on a request about a specific child.

2.5 What we never do. We do not sell children’s information. We do not use it for behavioural or interest-based advertising and we do not build advertising profiles of children. We do not require more information about a child than the feature needs.

4How we use it

  • To run the service — create accounts, store players and songs, generate audio, play tracks.
  • To take payment, apply plan limits, track credits, and honour promos and referrals.
  • To provide support and respond to you.
  • To keep the service safe — detect abuse, enforce our rules, prevent fraudulent charges.
  • To understand how the site performs and which features get used (see §8).
  • To meet legal obligations.

We do not use your players or songs to train our own AI models. We do not control whether our AI providers do so under their own terms — see §5.

5AI song generation

When you generate a walk-up song we send your prompt to a third-party AI music service — the title, the vibe or genre, the style description, any lyrics you wrote, and the requested length. If you put a player’s name in the title or lyrics, that name is sent too. The service returns an audio file, which we store and attach to the player.

Other AI features work the same way: stadium sound effects and announcer voice-overs are generated from the text you supply; roster-photo import, voice commands and page translation send the relevant text or image to a language model.

These providers handle that data under their own privacy terms, which we do not control. If you would rather a player’s real name never left our service, use a nickname in song titles and lyrics.

6Who else can see your content

Nothing here is published to the open internet. Content is shared only in these ways, and only with people you choose:

  • Co-parents you invite. Adding an email address to a player lets that person view and edit that player and their songs.
  • Your team library. Tracks are visible to the families invited to that player or team — not to other users, and not to the public.
  • Discord, if you set it up. If you configure a Discord webhook, the track details you choose to send go to that channel, governed by Discord rather than us.
  • Links you send yourself. As described in §2.3, an audio file sits at an unguessable address; forward that link and the recipient can play it.

We previously offered public player pages and printable QR placards. Those features have been removed and the underlying public-access setting no longer exists.

7Who we share with

We do not sell personal information. We use a small number of outside providers to run the service, and we share information with them only as far as their job requires:

WhoWhat they do for us
Our app platformHosting, sign-in, the database, file storage, transactional email, and some built-in AI features.
Our payment providerCheckout, subscriptions and cancellations. Card details are entered on their hosted checkout — we never receive a full card number.
An AI music generation providerComposes the walk-up track from the prompt you write. §5 sets out exactly what is sent.
A speech and sound providerThe announcer call and stadium sound effects, generated from the text you supply.
A product analytics providerShows us which features get used and where people get stuck. §8 explains how it is configured.
Advertising measurement providersCount how many people who clicked an ad went on to sign up. Marketing pages only — see §8.
A chat platformOnly if you switch on Discord sharing yourself, and only the track details you choose to send.

If you want to know which specific companies these are, write to us and we will tell you.

We may also disclose information where the law requires it, to protect the rights and safety of users or the public, or as part of a sale of the business — in which case we will tell you before your information becomes subject to a different policy.

8Cookies, tracking and analytics

Our marketing pages and sign-up flow carry a Google Ads conversion tag and a Meta pixel. They tell us how many people who clicked an ad went on to create an account or subscribe, and they share device identifiers and event data with Google and Meta, who may use them for their own advertising purposes under their own policies.

We also use PostHog for product analytics inside the app. It records which pages an account visits and a small set of events — signing up, starting a checkout, completing a purchase, and starting or finishing a song generation — so we can see what works and where people get stuck. We deliberately turned off the two PostHog features that would otherwise capture children’s details: it does not record your screen, and it does not capture the text of what you click. Player names, ages and jersey numbers are never sent to it.

We use all of this to measure adult sign-ups and improve the app. We never use information about a child for advertising. You can opt out by blocking third-party cookies in your browser, through Google’s Ads Settings and Meta’s ad preferences, or via an industry opt-out tool such as the Digital Advertising Alliance’s. Blocking them does not affect your ability to use the app.

9Retention

We keep your account and content while your account is open. Delete a player, song or playlist and we remove it from the app, though backups may hold a copy briefly before they cycle out. As explained in §2.3, deletion cannot reach a file someone has already downloaded or a link already shared; write to us if you need a stored audio file purged. Purchase and billing records are kept as long as tax and accounting rules require. Delete your account and we remove your personal information within a reasonable period, except records we must keep by law.

10Security

Traffic is encrypted in transit and passwords are stored hashed. Access is enforced server-side, not just in the app: a player and their songs are returned only to the owning account, an invited co-parent, or an administrator. No service is perfectly secure, and we do not claim otherwise.

11Your rights

Wherever you live, you can ask us for a copy of your information, ask us to correct it, or ask us to delete it. Most of this you can do yourself in Settings; for anything else write to our support page and we will respond within the time the applicable law allows.

If you live in California, Colorado, Connecticut, Virginia or another US state with a consumer privacy law, you also have the right to know what we collect, to delete it, to correct it, to opt out of sale or targeted advertising, and not to be treated differently for exercising those rights. You may appeal a refused request by replying to our decision.

We verify requests before acting on them. A parent asking about a specific child will be asked to confirm they hold the account that player sits under.

12Selling and targeted advertising

We do not sell personal information for money, and we never sell or share children’s information. The advertising tags in §8 may count as “sharing for targeted advertising” under some state laws. To opt out, follow the steps in §8 or write to us.

13Changes

We will update this policy as the service changes, and the date at the top always reflects the current version. If a change materially affects how we handle your information — particularly a child’s — we will give notice in the app or by email before it takes effect.

14Contact

Privacy questions, parental access and deletion requests, and general support all go through the same place. You do not need an account to use it — it works signed out, so you can reach us even if you cannot get into the app:

We are a small operation and do not yet publish a postal address or telephone number. If you need a postal address for a formal privacy or parental request, ask on the support page and we will provide one.
